We, Joanne & Stephen Wilson, are the owners of Rowel House holiday cottage accommodation. Your contract will be with us. In making a booking, you warrant that you are 18 years of age and have the authority to accept and do so on behalf of your party the terms and conditions set out below.
- Terms
Terms All terms are either per week (Friday to Friday*) or per short break (start day as specified) for the accommodation as equipped and described. The usual check-in time is 4pm (subject to unavoidable delays) and check-out time (10am). You are obliged to leave everything in a clean and tidy condition and you are responsible for any damage done or loss sustained during your stay. We reserve the right to alter prices in on the rowelhousedent.co.uk, independentcottages.com and bigcottages.com websites, which may go up or down. We will advise you of the current price at the time of booking.
2. Making a booking
All offers and bookings are subject to availability. A binding contract comes into existence between yourself and us (Joanne & Stephen) once we have received your deposit and we have issued a hire invoice and booking acceptance by e-mail. You must check your hire invoice and booking acceptance as well as all other documents we send you carefully as soon as you receive them. If any information appearing on any document appears to be inaccurate in any way, you must let us know straight away.
3. Number in your party
The total number in your party must not exceed the capacity of the accommodation as advertised by us. Babies under 2 may or may not be counted as members of your party.
4. Payment
Once your booking has been accepted you must pay 25% deposit or full payment within 7 days. Your balance becomes due and payable by the date printed on your Hire Invoice (4 weeks before your holiday start date). For bookings made within 8 weeks of your holiday start date you pay the full amount when you make your booking. If the deposit and/or balance is not paid on time, we may cancel your booking.
5. Changes by you
Once a booking has been confirmed by us to you, should you require it to be amended please inform us at the earliest opportunity. You may transfer your booking to someone else/another party (introduced by you) at any time providing any outstanding balance is paid. Note: Bookings may not be transferred to other parties after we have received notification of cancellation.
6. Cancellation by you
Contact us immediately if you have to cancel your holiday. Your cancellation is effective from the date we receive your written confirmation. We will retain the 25% deposit made on any holidays cancelled prior to 4 weeks of arrival. If paid in full 75% of the payment will be refunded to you. Only on bookings cancelled before 4 weeks of arrival. Any holiday cancelled within 4 weeks of arrival due date will not be refunded. It is therefore advised that you take out holiday insurance which will cover you should the need for cancellation arise If you are due a refund as a result of a cancellation, this will be paid within 30 days of receipt of your written confirmation of the cancellation.
7. Linen, towels and keys
Except for cots, bed linen is provided. This may be duvets or sheets. Please take bed linen for cots with you as required. Towels are provided. Keys will be found in the key safe (code will be provided). Please inform us of any loss of keys in order for us to rectify the problem. A charge may be incurred for loss of keys.
8. Cancellation by us (Joanne & Stephen)
Very occasionally we may have to cancel your booking. We will tell you as soon as possible and offer you a full refund. We regret we cannot pay compensation or any reimbursement of any expenses or costs you may incur as a result of any such cancellation or change.
9. Website accuracy
We have taken care to ensure the accuracy of information provided on rowelhousedent.com, independentcottages.com and bigcottages.com are correct and up to date, however information and prices may have changed by the time you book. We will use our best endeavours to notify you of any changes to, or inaccuracies in any information contained on independentcottages.com and bigcottages.com websites as soon as reasonably practicable after we become aware of that change or inaccuracy.
10. Facilities
We reserve the right to alter or withdraw amenities or facilities without prior notice where reasonably necessary due to repairs, maintenance, and circumstances beyond its control.
11. Unreasonable behaviour
We reserve the right to terminate a holiday after the keys have been handed over, if there is any unreasonable behaviour of anyone in your party. If we (Joanne & Stephen) are notified of any intentional damage to the property or disturbance to our neighbours we have the right to terminate your holiday. We do have a good relationship with our neighbours and they are able to contact us should such disturbances occur. In these circumstances, no refund will be given.
12. Damage to accommodation
You are liable for any damage caused in the accommodation during the period of hire. We have the right to enter the property (without prior notice if this is not practical or possible) if special circumstances or emergencies arise (for example if repairs need to be carried out). We accept there will be minor breakages at times which can-not be helped. If you can leave us a note of any breakages or defective items in the property, we would be grateful so we can rectify these problems straight away.
13. Party type
Group/Party Bookings: The organiser or leader of a group or party booking is responsible for providing the party details. Should you arrive at the property with all male or all female groups for example without notifying us of the required details we have the right to terminate the holiday.
Wheelchair/Disabled Persons: Unfortunately, the property is not suitable for wheelchair users as there are stairs within the property and no ground floor bedrooms.
14. Pets
We welcome a maximum of 2 well-behaved pets to our property at any time. Your pet is your responsibility and we are not responsible for the welfare of your animal during your stay. You are responsible for any damages to the property causd by your pet(s).
15. Security deposits
You may be asked for an additional deposit at our discretion for some parties. This is payable prior to your arrival and will be returned to you after your holiday, provided that your accommodation is undamaged, clean and tidy.
16. Special requests
These cannot be guaranteed, but every effort will be made to satisfy them.
17. Your vehicle(s)
Your vehicles, their accessories and contents are left entirely at your risk. We and Bath House are not responsible for any loss or damage from or to any vehicle from any cause whatsoever. Please Park in the designated car parking spaces provided at Bath house and not in the resident parking bays adjacent to Rowel House.
18. Comments or concerns
You must notify any shortcomings with your accommodation immediately so that remedial action, if appropriate, can be taken
19. Data Protection Policy
Personal information at time of booking will only be seen by Joanne and Stephen Wilson. It will be kept on the Independent Cottage system from point of booking and up to 28 days post departure.
